Alumnetic

Privacy Policy

Last updated 27 September 2026

This Privacy Policy explains how Alumnetic ("Alumnetic," "we," "us," or "our") collects, uses, shares, and protects information when you use our mobile application, website, and related services (collectively, the "Services"). By creating an account or otherwise using the Services, you agree to the practices described in this Policy.

1. Information we collect

1.1 Information you provide directly.

  • Account and profile information. To create an account you provide your name, email address, password, and your team access code, which links you to a team's network. Your profile can also include, at your choice: a profile photo, class year, sport and position (or sport-specific fields such as swim strokes or track events), member type (for example alumni or family), maiden name, phone number, LinkedIn profile, current city, state, and country, hometown, employer, job title, industry, a short bio and hobbies, mentorship availability and areas of expertise, and details of your military service (branch, community, platform, rating or designator, rank, duty station, and years of service). Midshipmen are asked for the service communities they hope to select; those desired service selections are private to you — they are not shown on your profile or in the directory — and are used only to suggest alumni mentors. Apart from the answers onboarding asks for (such as whether you are serving, your industry, or a midshipman's service selection), every field beyond name, email, and team is optional, and you can edit or remove it at any time.
  • Content you post or share: posts, comments, photos, events you create or follow, community memberships, direct messages and group chats, connection requests, message requests and group invitations you send or answer, job postings, and bug or feedback reports.
  • Communications you send to us, such as support requests or reports about other members.

1.2 Information from third-party sign-in. If you sign in with Apple, we receive your name and email address (which may be an Apple private relay address that forwards to your real one). If you sign in with LinkedIn, we receive your name, email address, profile picture, and headline, which we use to pre-fill your profile. Either way, your team access code is still required.

1.3 Information collected automatically.

  • Device and app information: device type, operating system version, and app version.
  • Usage and analytics information, such as which features you use, collected through PostHog. We also record when you open the app and how long each visit lasts, to measure how often the Services are used. Analytics are tied to your account identifier so we can understand how members use the app. They are not used for advertising and do not use your device's advertising identifier.
  • Location. We do not collect your device's GPS location, and the app never asks for location permission. The alumni map places you by the city, state, and country you enter in your profile. To do that, we send that place name — not your name or any other information — to a geocoding service (OpenStreetMap Nominatim) that returns map coordinates. You can leave your location blank.
  • Push notification tokens, used to deliver notifications to your device.

1.4 Calendar integration. If you subscribe to a team schedule from the app, the calendar app you choose (Apple Calendar, Google Calendar, or another) reads a schedule feed from us; the feed contains event details only. Your subscription link contains a private token, and anyone who has the link can read that schedule, so do not share it. With your permission, the app can also add individual events to your device calendar. We do not access the rest of your calendar.

1.5 Photos and camera. Camera and photo-library access are used only when you choose to attach a photo. Photos you post are stored with our cloud storage provider and delivered to members by direct link; treat anything you post as visible to your network.

1.6 Information other members provide about you: mentions of you in posts and comments, photos other members post, and messages sent to you.

2. How we use information

We use the information we collect to:

  • Provide, operate, and maintain the Services, including your team feed, directory, communities, messaging, and events calendar.
  • Personalize your experience, including mentorship and networking suggestions based on your profile.
  • Communicate with you, including push notifications, service announcements, verification codes, and responses to support requests.
  • Maintain the safety and integrity of the Services, including content moderation (which may use automated tools), enforcement of our Community Standards, and handling of reports and blocks.
  • Analyze usage to improve features and fix bugs.
  • Comply with legal obligations and enforce our Terms of Service.

AI-assisted features. Some features use automated systems, including a third-party AI provider (OpenAI): profile text is used to generate search and mentorship-matching suggestions, posts are tagged by topic, images and job postings are screened by automated moderation, and summarized, aggregate insights are generated for team administrators. These features are part of how Alumnetic works and are not separately optional; automated moderation runs on all content for safety. Automated moderation decisions can be appealed as described in the Community Standards.

3. How we share information

We share information only in these circumstances:

  • With other members, according to your privacy settings. Nothing on Alumnetic is visible to the public or to anyone who is not a signed-in member. Your full profile — including any optional contact and service details you add — is always visible to the alumni, midshipmen, coaches, and administrators of the team(s) you belong to. If you are an alumnus or midshipman, you choose who else sees it in Settings & Privacy → Who can see your profile, with separate switches for alumni, midshipmen, and coaches of other Navy teams; for families and supporters of your own team; and for families and supporters of other Navy teams. New alumni and midshipmen start with other Navy teams on and families off. Members you have not allowed see only your name, class year, and sport, with no photo, and can ask to connect. If you accept a connection request, you and that member can each see the other's full profile until either of you removes the connection. Your list of connections is visible only to you. When another member views your profile, they may see which of their own connections you are also connected with (mutual connections). Family and supporter profiles are visible to all members.
  • Posts and comments are visible to everyone who can read the feed, room, or community you post them in, shown under your name. On the alumni map, a member appears only to members allowed to see their profile.
  • In messages. Teammates and connections message each other directly. A first message from a member you are not connected with and do not share a team with arrives as a message request, and so does a first message from a family member or supporter to an alumnus, midshipman, or coach they are not connected with, even on the same team. With a message request, the recipient sees who sent it and that message, and chooses to accept, delete, or block. Until it is accepted the sender cannot send more, and a deleted request is not reported back to the sender. An invitation to a group chat from someone who would need a message request works the same way, and you see nothing from the group until you accept. Being in a conversation or a group with someone does not give them access to your full profile.
  • With team administrators, for the limited purpose of managing their team's presence on the platform. Team administrators can see the member list and act on reports; they do not see your private messages.
  • With service providers who perform functions on our behalf: Supabase (database, authentication, and file storage, in the United States), Vercel (website and API hosting), Expo and Apple Push Notification service (push delivery), PostHog (analytics), OpenAI (moderation and AI-assisted features), OpenStreetMap Foundation (geocoding the city you enter for the map), Giphy (the search words you type when adding a GIF), and Apple and LinkedIn (sign-in).
  • To comply with law, respond to legal process, or protect the rights, property, or safety of Alumnetic, our members, or the public.
  • In connection with a merger, acquisition, financing, or sale of assets.
  • With your consent or at your direction.

We do not sell your personal information.

4. Your choices and rights

  • You can view, update, or remove your profile information at any time in the app under Edit Profile.
  • You can control which push notifications you receive in the app and in your device settings, and mute individual communities.
  • You can block any member from their profile, from one of their posts or comments, or from a conversation, and manage blocks under Settings & Privacy → Blocked accounts.
  • If you are an alumnus or midshipman, you can choose who sees your full profile under Settings & Privacy → Who can see your profile, on your own profile, or on the last step of sign-up, and change it at any time.
  • You can accept or decline connection requests, and remove a connection at any time, from the notification, the member's profile, or Settings & Privacy → Connections.
  • You can accept, delete, or block message requests and group invitations in Messages → Requests.
  • You can delete your account at any time in the app: open the menu, then Settings & Privacy, then Delete account. Deletion is immediate and removes your profile, posts, comments, reactions, memberships, and the messages you sent. Photos and other files you uploaded are removed from Alumnetic when your account is deleted; residual copies may persist in storage and backups for up to 90 days. Copies of your posts that other members reshared may remain. You can also ask us to delete your account by emailing support@alumnetic.com.
  • California residents have rights under the California Consumer Privacy Act (CCPA), including the right to know, delete, and correct personal information. We do not sell or share personal information for cross-context behavioral advertising.
  • If you are located in the European Economic Area, United Kingdom, or a similar jurisdiction, you may have additional rights under the GDPR or equivalent laws, including the right to access, rectify, erase, restrict, or port your data, and to object to certain processing. To exercise these rights, contact us at support@alumnetic.com.

5. Data retention

We retain personal information for as long as your account is active or as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. Posts and direct messages are retained until deleted by you or removed for a Community Standards violation. If a team administrator removes you from a team's network, your account remains but your access to that network ends. When you delete your account, the information described in Section 4 is deleted; some records may be retained where required by law or for legitimate purposes such as fraud prevention or dispute resolution.

6. Children's privacy

The Services are intended for members who are 18 years of age or older (or the age of majority where they live). Family and supporter accounts are held by adults. We do not knowingly collect personal information from children. If we learn that we have collected personal information from a child, we will delete it promptly.

7. Data security

We protect your information with administrative, technical, and physical safeguards. Data moves between your device and our servers over encrypted connections (TLS), and our database and file storage are encrypted at rest. Access to member data inside our systems is limited by database-level access rules, so that members see only what their network allows. Direct messages are stored in encrypted form. No method of transmission or storage is completely secure, and we cannot guarantee absolute security; if we learn of a breach affecting your information we will notify you as the law requires.

8. International users

If you access the Services from outside the United States, your information may be transferred to, stored, and processed in the United States or other countries where our service providers operate. By using the Services, you consent to this transfer.

9. Third-party links and services

The Services may contain links to third-party websites or integrate with third-party services (such as Apple, LinkedIn, Apple Calendar, Google Calendar, and the sites teams link to for giving or newsletters). This Policy does not apply to those third parties, and we encourage you to review their privacy practices.

10. Changes to this Policy

We may update this Privacy Policy from time to time. We will notify you of material changes through the app or by other reasonable means, and will update the "Last updated" date above.
